SUBJECT:     Lift Station Maintenance Contract (Bid # 07-09-294)

Butler National Services Inc. has maintained the City’s Lift Stations for the past 19 years. Although the current contract with Butler expired on September 30, 2007, Butler agreed to extend the contract until an appropriate vendor was chosen for the new contract.

In order to find a suitable and competent vendor, the City solicited bids for Lift Station Maintenance proposals in the newspaper and construction generals.

As a result, we received two bids; one from Butler National Services Inc. and one from U.S. Water Services Inc. (please see the attached information for bid results).

Upon review of the bids by the City Engineer from Calvin Giordano and City staff, we realized that the bids were very similar in cost and functions. However, we also considered the fact that, Butler has been providing this service to the City for the last 19 years and have done an outstanding job. In addition, they fully understand our pumping stations and are familiar with the needs and expectations of the Department. Therefore, we are recommending to contract with Butler National Services for the Lift Station Maintenance for approximately one year, ending September 30, 2008, with provisions for renewal subject to certain conditions.  The scope of services includes monitoring, maintenance and repair of 28 lift stations.

Funding in the amount of $160,000.00 is available in the FY 07/08 budget – 401 Utilities Fund for this contract. Last year, we spent approximately $155,000 for this service.
