Subject:           Approval to Update Access List to the Information Technology Safety Deposit Box

 

The Information Technology Division stores various records, licenses and media in a safety deposit box located at a local SunTrust Bank Branch.  The safety deposit box provides an off-site repository of original documents, media and backup data for disaster recovery purposes.

 

We are requesting approval to update the current list of authorized personnel who can access this safety deposit box.  In addition, SunTrust has requested Commission approval whenever personnel changes are made to the signature control card.  They will use the approved agenda personnel list along with the signed signature card to control safety deposit box access.

 

The following individuals were previously authorized and will continue to have access to the account described above:

 

            Jack Naparano             Information Technology Manager

William Spencer           Network Administrator

            Brian K. Raducci          Finance Director

Richard D. Sala            City Manager

 

We are requesting that the following individuals be added to the authorized list of those who have access to the account described above:

 

James Fondo                Police Chief/Public Safety Director

Mike Mooney              Systems Technician

 

At this time, the form will be updated to reflect the following deletions:

 

Lou Cavallo                  Former Police Chief/Public Safety Director

Steve Stark                  Former Systems Technician

Frank Salaris                Former Systems Technician

Andrea Gerlach            Former Deputy City Clerk II

 


RECOMMENDATION:

 

The Administration recommends Commission’s consideration and approval of the attached resolution authorizing and directing the City Manager to update the list of authorized users for all SunTrust Safety Deposit Accounts and the Safety Deposit Account Signature Card.


RESOLUTION NO ________

 

A RESOLUTION OF THE CITY COMMISSION OF THE CITY OF NORTH LAUDERDALE, FLORIDA, AUTHORIZING AND DIRECTING THE CITY MANAGER TO UPDATE THE LIST OF AUTHORIZED USERS FOR ALL SUNTRUST SAFETY DEPOSIT ACCOUNTS AND THE SAFETY DEPOSIT ACCOUNT SIGNATURE CARD, PROVIDING FOR SEVERABILITY AND PROVIDING FOR AN EFFECTIVE DATE.

 

 

            WHEREAS, the City Commission for the City of North Lauderdale (“City”), previously authorized the use of SunTrust Bank for Banking Services; and

 

            WHEREAS, as a result of changes in the City’s administration staff, it is necessary to advise SunTrust Bank of those changes and to revise the City’s Safety Deposit Account Signature Card in order to designate the appropriate City representatives who are authorized to have access to all of the City’s s Safety Deposit Accounts; and

 

                WHEREAS, the City Commission finds that it is in the best interest of the City to approve the changes to the Safety Deposit Account Signature Card in order to designate the appropriate City representatives who will have authority to access all of the City’s Safety Deposit Accounts and to maintain proper internal controls.

 

            NOW, THEREFORE, BE IT RESOLVED BY THE CITY COMMISSION OF THE CITY OF NORTH LAUDERDALE, FLORIDA, THAT:

 

            Section 1.        The foregoing “WHEREAS” clauses are hereby ratified and confirmed as being true and correct and are hereby made a specific part of this Resolution upon adoption hereof.

 

            Section 2.        That the City Manager be and the same is hereby authorized, and directed to update the list of authorized users for all of the City’s Safety Deposit Accounts via the Safety Deposit Account Signature Card.

 

Section 3.        That this amendment shall delete former Police Chief/Public Safety Director, Lou Cavallo and Former Systems Technicians Steve Stark and Frank Salaris as well as former Deputy City Clerk II Andrea Gerlach and add Police Chief/Public Safety Director, James Fondo and Systems Technician Mike Mooney as authorized users to the Safety Deposit Account.

 

            Section 4.        This Resolution shall take effect immediately upon its adoption.

 


            PASSED AND ADOPTED BY THE CITY COMMISSION OF THE CITY OF NORTH LAUDERDALE, FLORIDA, THIS 29th DAY OF MAY, 2007.
