SUBJECT: Use of Gymnasium
by TAG for Employee Basketball League
City Staff was recently approached by a representative of The Answer Group (TAG), a major local business, regarding the use of the City Gymnasium for an Employee Basketball League. TAG is looking to run a 6 to 8 week league on Tuesday and Thursday evenings.
During staff’s conversations with
TAG, we advised them that the City has no rental policy in place for the use of
this facility. However, if the City feels the program will serve a positive
purpose and desires to sponsor such event, the request for the use of gymnasium
is presented to the City Commission for approval. TAG is the largest employer in the City of
Staff has outlined a series of
conditions (Exhibit A) to follow with if the Commission approves this request
tonight. These conditions will be included in the permit that the Parks and
Recreation Department will issue for the use of this facility. The City will be
charging an hourly rental fee of $27 to cover staff time as well as other
associated costs while the games are being played.
In order to move forward, the Commission needs to approve this request
tonight.
RECOMMENDATION:
The City Administration recommends Commission’s consideration and approval of the attached resolution authorizing the use of the City Gym and sponsoring the Spring TAG Employee Basketball League subject to the conditions listed on attached “Exhibit A”.

Section 1: That the City Commission does hereby approve and authorize the use of the City Gymnasium and sponsorship of the TAG Employee Basketball League
Section 2: TAG
will meet all terms and conditions as outlined in the attached Exhibit “A” or
event will not be permitted.
Section 3: That this Resolution shall take effect
immediately upon adoption.

EVENT CONDITIONS – Exhibit “A”
League
will run on Tuesdays and Thursdays and will start no earlier than April 21st
and end no later than June 4th.
The Department will have final say on game days/times if there is a
conflict with other City or Department activities.
Gymnasium
will be available from 7:00 pm to 9:30 pm.
Gym closes at 9:30 pm sharp. A
staff member will be present during these hours but will not have any role in
the operation of the league. Facility is
to be used for games only and no practices will be permitted.
No
scoreboard/time clock is available for use.
TAG
will pay the hourly rate of $27 per staff person – minimum of 2.5 hours per day. At the inception of the league, one staff
member will be assigned to the gym, however the Parks and Recreation Director
reserves the right to increase the number of staff required in the facility if
needed based on league actions.
TAG is
responsible for all league matters and supplies; the City is serving as the
main sponsor by providing the indoor court.
Payment
is expected at the start of each month.
Gym is
not open to the public during this time.
Gymnasium,
restrooms and locker rooms are to be returned in the same condition as they are
found prior to each game. Failure to
return the facility in a satisfactory condition after each game will result in
the forfeiture of facility access.
No food
is permitted in the Gymnasium.
